Share and stay organised in OneNote

Share an entire notebook

Your notebooks are private by default, unless you decide to invite other people to read or change its contents.

1. Access your desired notebook to share.

2. Around the upper right-hand corner of the OneNote app window, press Share.

3. In the Share pane, click This notebook from the drop-down menu.

4. Below E-mail invitation, enter one or more e-mail addresses in the box at the top, and then do one of the following:

Click Can edit if you want people to actually view and edit the pages in your notebook.

Choose Can view if you seek people to simply view your notebook, without saving any changes to it.

5. Select Share to e-mail an invitation to the existing notebook to the chosen recipients.


Share a single page of notes

If you only want to share some of notebook with other people, you can share a specific page.

1. In your notebook, enter your target page to share.

2. Around the upper right-hand corner of the OneNote app window, press Share.

3. In the Share pane, click This page from the drop-down menu.

4. Press Create to produce a shareable Web link with other people.

After the sharing link has been made, select Copy, and then paste the link in your ideal sharing space.


Share a static copy of a page

Follow these instructions if you want to send a static snapshot of a notes page or a whole notebook. Snapshots of notes will remain fixed if the notebook’s owner revises their initial notes in the future.

1. In your notebook, select your desired notebook or page to be shared.

2. By the upper right-hand corner of the OneNote app window, press Share.

3. In the Share pane, pick if you want to share a snapshot of This page or This notebook.

4. By the bottom of the pane, press Send a copy.

5. In the Share menu that displays, choose the recipients, or pick your relevant app for sharing (for example, the Windows 10 Mail app).
